Cypher Tech FZ LLC operates Arabian HMS, a horse stud management service. This policy describes how personal information is handled when you visit the website or use the service. Farm customers are responsible for the personal information they enter about staff, owners, breeders and other individuals; we process those farm records to provide the service.

2. Information we handle

• Account details, including your name, email address, profile avatar and sign-in information.
• Farm membership, roles, team invitation details and access changes.
• Records you enter or upload, including horse identities, pedigrees, breeding, veterinary, laboratory, training, staff, financial records, photos and documents.
• Registry imports, source references and permission evidence supplied by authorized administrators.
• Questions and conversation context submitted to Jawaher AI, together with authorized farm information used to answer them.
• Technical information necessary for operation and security, such as requests, error reports and audit events.

3. Why we use information

We use information to provide accounts and private farm workspaces, manage invitations and permissions, store and retrieve records, respond to AI questions, maintain audit trails, prevent misuse and troubleshoot the service. Depending on the circumstances and applicable law, processing is necessary to provide the agreed service, meet legal obligations, protect legitimate operational and security interests, or act on your consent where required.

4. Farm privacy and registry sharing

Private farm records are restricted to authorized members of that farm according to their permissions. Invitations require a verified matching email. The Global Registry is separate from farm records: only explicitly approved records and safe identity fields are available to verified accounts. Raw imports, permission evidence, conflicts and detailed change values are restricted to registry administrators. Linking a registry horse does not automatically publish your private farm records or overwrite your local information.

5. Service providers and disclosures

We use hosting, authentication, storage and AI service providers to operate Arabian HMS. Relevant information may be processed by these providers when needed to deliver the requested service, including farm context sent for AI responses. Information may also be disclosed where required by law or necessary to protect the service or legal rights. This policy does not authorize selling your private farm records.

6. International processing

Service providers may process information outside your country. Applicable safeguards and any country-specific requirements must be assessed before personal information is transferred. We do not represent that all data is stored exclusively in the UAE.

7. Cookies and browser storage

The service uses essential cookies or browser storage to maintain sign-in sessions, remember service preferences and support invitation flows. Blocking essential storage may prevent sign-in or other account functions. Any future non-essential analytics or advertising technologies require an appropriate notice and consent where applicable.

8. Retention and security

Information is retained for the purposes described in this policy and any applicable legal obligations. Account closure, deletion requests and retention of audit records or backups require review; no automatic deletion timetable is promised here. We use access controls, private storage and permission checks to protect records, but no service can guarantee absolute security. Removing access cannot revoke copies a person has already downloaded.

9. Your choices and rights

You can update your profile information and, if permitted by your role, manage records and team access. Depending on applicable law, you may request access, correction, deletion, restriction or a copy of your personal information, or object to certain processing. Requests concerning a farm’s records should first go to that farm’s authorized owner. Company-level requests require identity verification; a verified company privacy contact must be added before launch.

10. Children and policy changes

Arabian HMS is intended for professional farm use, not services directed at children. We may revise this policy as the service or legal requirements change and will update the date above. Material changes should be communicated through an appropriate service notice.
